Workday integration
What syncs between Workday and ProFinda, how often, and what to check when it drifts.
The Workday connector keeps people data in ProFinda aligned with your HR system of record. From connector v2 (June 2026) sync is event-driven for worker changes, with a nightly reconciliation sweep.
What syncs, and which way
| Data | Direction | Frequency |
|---|---|---|
| Worker records (name, grade, location, org unit) | Workday → ProFinda | On change, plus nightly reconcile |
| Joiners and leavers | Workday → ProFinda | On change |
| Absence and leave | Workday → ProFinda | Nightly |
| Certifications | Workday → ProFinda | Nightly |
| Skills profile changes | Not synced | - |
ProFinda never writes to Workday. Skills maintained in ProFinda stay in ProFinda; Workday remains the system of record for employment data.
Setup summary
Setup is done once by your platform team with ProFinda support: create an integration system user in Workday with the ProFinda security group, grant Get-only access to the worker and absence domains, then enter the tenant URL and credentials under Admin → Integrations → Workday and run a full initial sync. Expect the initial sync to take one to three hours for a 10,000-worker tenant.
When data looks stale
- Check Admin → Integrations → Workday → Sync log for the last successful run and any per-record errors.
- A single wrong worker is usually a Workday data issue; fix it there and it flows through on the next event or nightly sweep.
- Widespread staleness usually means expired integration credentials - the sync log will show authentication failures. Rotate the credentials in both systems.
Leavers are deactivated in ProFinda within 24 hours of their Workday termination date; their history is retained per your data retention settings.
